International SOS Hotel Policy

The company will cover hotel expenses for your stay from check-in on September 21 through check-out on September 26.

If you plan to arrive earlier or stay later than these dates, please indicate your preferred check-in and check-out dates on the registration form. You will be responsible for any hotel nights outside of the covered period (9/21–9/25).  Please note this is based on availability.

Please note that all incidental charges (such as room service, minibar, etc.) are your personal responsibility.

Check In/Out Policy:

GUEST ARRIVAL & DEPARTURE TIME: Check-in is after 3:00 PM and checkout is at 12:00 Noon.   Room assignments before check-in time are based on availability. During high occupancy periods, rooms may not be ready upon arrival but will be made available as soon as possible. Luggage storage is available for early arrivals. A credit card will be collected at check-in to cover all incidentals and any additional stay before or after the conference dates.

Cancellation Policy:

INDIVIDUAL GUEST ROOM CANCELLATION POLICY:  If a guaranteed reservation is not cancelled 15 days prior to the arrival date and the guest fails to check in on the specified arrival date, a charge of one night's room and tax will apply. Additionally, such cancellations may result in our group being subject to fees and charges if the group's room block does not meet the guaranteed guest room count provided at the cut-off date

Hotel Rates & Meal Allowance

• Pre-stay Rate (before September 21),based on availability: €340 per night (double occupancy)
• Post-stay Rate (after September 25), based on availability: €340 per night (double occupancy)
• Breakfast Daily: Included in the hotel rate
• Meal Per Diem: A daily allowance of €50 per person (for both employee and guest) will be provided on days when meals are not included in the scheduled activities  (Allowances will be reimbursed via Concur)
